Get started with the HR Assistant

Everything you need to know before you can use the HR Assistant.

The HR Assistant is a specialised Evo skill within Copilot that helps streamline your HR tasks, such as searching company documents and accessing employee information. Think of Copilot as your core solution and HR Assistant as one of the helpful tools available within it.

The HR Assistant can search through both your company documents and your employee information.


Company documents search

With this new feature, you can retrieve information from your company documents stored within PeopleHR. To start using the HR Assistant, click Access Button

image then click Copilot.

Before you can use the documents searching function, you need to add the required documents into PeopleHR, and review or archive the existing ones.

Add policy documents

For the HR Assistant to generate answers to your employees' and managers' questions, you need to upload your company policy documents to PeopleHR.

The Copilot search currently only accepts .pdf and .docx documents. The solution only surfaces answers relevant to users' permission level, based on what you select when you upload the document.

Review existing documents

To ensure the HR Assistant doesn't pull out-of-date information, we recommend you review the documents you've already uploaded to PeopleHR. To view your existing documents, follow the steps below.

  1. Click Access Button image then click Employee.

  2. Click Documents.

Archive company documents

If there are any documents that you don't want the HR Assistant to use, we recommend you archive them.


Employee data search

The employee data search feature makes accessing employee-specific information within PeopleHR quick and seamless.

Some key features of employee data search.

  • Employee documents: Retrieve employee documents such as contracts or certificates by querying an employee's name. Access controls ensure that only authorised users can view sensitive documents, tailored to the permissions of each role.

  • Holiday entitlements: The HR Assistant allows both employees and managers to query holiday entitlements in real-time. Managers can check team members' remaining holiday days, while employees can check their own balances, all without the need for manual HR involvement.

  • Employee personal details: Access essential information such as job titles, start dates, and reporting structures. Whether youโ€™re an HR professional or a manager, the HR Assistant allows for fast retrieval of key employee details to streamline decision-making and communication.

To access the employee data search function, follow the steps below.

  1. Click Access Button image then click Copilot.

  2. Click HR Assistant and ask your question.
