What to do when an employee leaves your company.

Mark an employee as a leaver to start their offboarding in PeopleHR and keep their data and user access accurate. Watch the video or follow the steps below:

Make the employee a leaver

  1. Click Access Button image then click Employee.

  2. Click the relevant employee then click Overview.

  3. Click Leaver Wizard.

If you give a leaver a past date but don't select Mark as Leaver immediately, ripples can still trigger for them. PeopleHR moves them to the leavers area on the same day, between 5pm and 6pm.

Complete each stage of the wizard as follows:

Personal details

  1. From the Reason for Leaving drop-down menu, select a reason.

  2. From the Notice Period drop-down menu, select the relevant option.

  3. In the Final Employment Date and Final Working Date fields, type the dates.

  4. In the Resignation Date field, type the date, then select Mark as Leaver immediately.

  5. Check that the remaining holiday is correct, then click Next.

📌Note: Marking a user as a leaver immediately removes their access to PeopleHR and affects all related ripples.

Employment

  1. If the leaver has direct reports, select a new manager for them from the Re-Assign Direct Reports drop-down menu.

  2. Select whether the leaver is Re-employable.

  3. Add any supporting comments, then click Next.

Benefits

  1. Check any benefits you need to recover when the employment ends, then click Next.

Tasks

  1. Select the tasks the leaver needs to complete before they leave, then click Next.

📌Note: Once you add a task, you see it each time you go through the leaver wizard. Someone needs to complete the task, whether or not you rehire the employee later.

Complete

  1. Click Finish and exit.

Leaver access

If you didn't mark the employee as a leaver immediately, they can still sign in to their PeopleHR profile until their final employment date.

To stop them signing in before then, remove their email address from the Personal tab of their record.

Once the employee reaches their final employment date, remove their email address if you haven't already. Otherwise, if their next employer uses PeopleHR, they won't be able to sign in.

📌Note: A leaver's data stays in PeopleHR until you delete their profile.
