As a PeopleHR admin, you can use the Timesheet Report to produce detailed or summary timesheets. It also sends time data to several payroll systems. You need an application programming interface (API) key to run it.

The Timesheet Report plugin uses these fields:

  • Basic hours

  • Clock-in and clock-out data

  • Overtime

  • Missed clocks

  • Double clocking

  • Holidays

  • Sickness

  • Other events

  • Late

  • Maternity and paternity

  • Working pattern

To create a timesheet report in plugins:

  1. Create an API key with the Employee, Timesheets and Query endpoints.

  2. In Access Evo, click Access Button image then click HR Admin.

  3. Click Plugins then click New Requests.

  4. Click Timesheet Report, then complete the fields in the table below.

  5. Check the form, then click Submit.

  6. To download any attachments, click Download.

  7. To repeat the same request, click Repeat.

  8. If your request fails, click the Log icon to check the details.

Extracts all work patterns and shifts in PeopleHR.

Shift patterns file

If you select Use local shifts file, upload the file here.

Bank holidays file

If an employee's entitlement doesn't include public holidays, upload a .txt file of bank holiday information here.

Detailed Upload Timesheet

The API key needs access to all document endpoints for this option to work.

Shift Activity Timesheet

Shows an audit of employees who clocked out and back in again within a set time period.

Detailed Upload Timesheet Reference

Use only if you select Detailed Upload Timesheet. Type the name of the report you uploaded to the employee's documents.

Detailed Upload For Employee Id

Bank holiday hours

The maximum number of paid hours for a bank holiday.

Clock In grace period (minutes)

The number of minutes allowed for a clock-in, compared with the shift start time. If the difference is within the grace period, PeopleHR rounds the clock-in. For example, for a shift starting at 8:00, a clock-in at 7:03 rounds to 7:00.

Clock Out grace period (minutes)

The number of minutes allowed for a clock-out, compared with the shift end time. If the difference is within the grace period, PeopleHR rounds the clock-out. For example, for a shift ending at 18:00, a clock-out at 18:57 rounds to 19:00.

Shift day rounding (minutes)

The rounding PeopleHR applies on a shift working day. For example, with 15-minute rounding, a clock-in at 6:37 rounds up to 6:45. A clock-in at 6:32 rounds down to 6:30 because of the clock-in grace period.

Late arrival grace period (minutes)

If a clock-in is later than the shift start time by more than these minutes, PeopleHR adds a Late Arrival comment to the Reason section of the Detailed timesheet.

Break time period

The default number of minutes PeopleHR deducts for breaks, if the employee's work pattern doesn't include a break time and you've chosen to deduct break times on the Rules tab.

Shift activity - hours between shifts

Uses the Shift Activity Timesheet. Sets the time frame the report looks at.

Daily Hours Rounding

Rounds the total working hours for the day, instead of rounding each clock-in and clock-out time under Shift day rounding.

Max hours per Day

The maximum number of hours PeopleHR awards per day, for both basic and overtime hours.

Skip Break Deduction If Worked less Than

PeopleHR doesn't deduct break time for employees who work less than half their hours, or less than the hours you set, in the shift.

Night shift allowance - shift starts after

The time a night shift starts.

Early clock in round to Clock In time

When you turn this on, PeopleHR sets early clock-ins to the shift start time. For example, for a shift starting at 7:00, a clock-in before 7:00 counts as 7:00.

When it's off, PeopleHR doesn't round early clock-ins to the nearest 15 minutes. It only adds time after the work pattern's end time to overtime.

Reduce break time

When you turn this on, PeopleHR deducts a default 30 minutes of break time from worked hours.

Reduce break time for Part Day holiday

Sets whether PeopleHR deducts break time on days with a part-day holiday.

Reduce break time if less than half time worked

Sets whether PeopleHR deducts break time when the hours worked that day are less than half the expected hours.

If clocked in/out during public holiday put retain holidays hours and place worked hours into overtime

When you turn this on and employees work on a public holiday, PeopleHR pays the holiday hours at the normal rate and the worked hours at the overtime rate.

When it's off, PeopleHR pays the worked hours at the overtime rate only.

Include employees without Time Attendance Id

When you turn this on, the report includes employees without a Time & Attendance ID. When it's off, the report leaves them out.

Balance Basic using Overtime hours

When you turn this on, PeopleHR moves overtime hours to basic hours when basic hours are below the expected weekly shift hours. For example, in a week with 40 expected hours, 36 basic hours and 10 overtime hours become 40 basic hours and six overtime hours.

Cap holiday hours to shift hours

Limits booked holiday hours to the shift day hours. For example, for a 10-hour holiday booked on a shift day with eight expected hours, PeopleHR only pays eight hours.

Include hours before/after shift or Rest Day as Overtime

When you turn this on, PeopleHR counts any clock-in time before or after the work pattern's start or end time as overtime in the overtime logbook screen.

Use shift day hours for bank holiday

If an employee clocks in on a bank holiday, PeopleHR uses the hours on their work pattern instead of the default hours on the Time Settings tab.

Add non-deducted break time to Overtime

PeopleHR adds an hour recorded in the lunch breaks logbook screen to the employee's overtime hours.

Round to shift expected hours

When you turn this on, PeopleHR rounds an employee's hours up to their daily total, even if they don't meet the expected hours on their work pattern.

Adjust break time with manual clock out

When you turn this on, PeopleHR adjusts the default break deduction when an employee clocks out and back in for their break.

Rest day rounding

Sets a different rounding rule for days when an employee works on a standard non-working day.

Automatically deduct XX mins for breaks for working non-shift days (This time can be added back in by the employee declaring breaks as working time)

The minutes PeopleHR deducts as lunch breaks when an employee works on a non-shift day. For example, with the default break setting, working 10 hours on a Saturday set as a non-working day pays 9:30 hours.

Rest day break deduction

PeopleHR deducts break time from worked hours on a rest day.

Rest day use shift start time

When you turn this on, PeopleHR uses the common shift start time on a rest or non-shift day.

Paid events (comma delimited)

List the other event reasons to award hours back for, separated by commas.

Rest Day Paid Events (comma delimited)

List the other event reasons to award hours back for on a day that's normally a non-working day, separated by commas.

Salary type

The salary types to include in the report, separated by commas. Type them as they appear in the Query builder.

For example, type Hourly Salary, Annual Salary. Typing hourly, annual doesn't work.

Reports to

Filters who to include in the report. For example, include only employees who report to a specific person.

Departments (comma delimited)

The departments to include in the report, separated by commas.

Companies (comma delimited)

The companies to include in the report, separated by commas.

Order employees by

Select whether to order employees by department, employee ID, first name or last name.

Summary report - show Saturday hours

Shows Saturday hours in their own column in the summary timesheet report.

Summary report - show Sunday hours

Shows Sunday hours in their own column in the summary timesheet report.
