How can I set up shift patterns?

To specify what days an employee works, when they work and how much to deduct from their entitlement when they have a day off, you can set up work patterns.

If your employee works set days but also works overtime, you can still use work patterns.

We don't recommend using work patterns if:

  • Your employee works irregular shifts.

  • Your employees swap shifts on a regular basis.

  • Your employees are flexible workers.

Create a new work pattern

To create a new work pattern, follow the steps below.

πŸ“ŒNote: If you're unable to set up work patterns or rotating work patterns, to ensure you have the correct permissions, contact your manager.

  1. Click Access Button image then click HR Admin.

  2. Click Settings then click Work Patterns.

  3. Click the + icon, or if you wish to clone, select an existing one from the list.

  4. Select the In Use check box then enter a name for the pattern.

  5. If required, enter a description then enter the relevant details for each day of the week.

  6. If it's a rotating shift pattern, click Add Week then repeat step 6 and select which is the current week.

πŸ“ŒNote: If the employees work one week on, and one week off, click Add Week and leave the second week blank.

  7. Click Save.

If employees work different hours each day or work part-time, enter the maximum hours in the Hours column, and then the full-time equivalent in the Days column.

For example, if they work eight hours some days and four hours on other days, enter 8 in the Hours column. Then, on the days they work eight hours, enter 1 in the Days column, and on the days they work four hours, also enter 1 in the Days column to ensure that when they book a holiday it will take a full day out of their entitlement still.

πŸ“ŒNote: You can assign employees in bulk or individually.
