Access Evo: Manage user access in Access Evo as PeopleHR administrators

Use Access Evo members as a PeopleHR administrator.

On Access Evo (previously Access Workspace), administrators use the members area to manage user or member access.

For PeopleHR, there is a one-way sync of employee details to Access Evo members. PeopleHR is the source of truth for employee details:

  • When a new employee is added to PeopleHR, they are automatically added to Access Evo members.

  • When their data is updated on PeopleHR, it's updated in Access Evo members.

  • When they're made a leaver on PeopleHR, they are deactivated in Access Evo members once their leave date has passed.

๐Ÿ“ŒNote: This is a one-way sync. Data is synced from PeopleHR to Access Evo Members only. If an employee is manually created or updated in Access Evo members, the changes will not be made in PeopleHR.


Manage roles

PeopleHR product rule

The Access Evo product role is distinct from the user access rights in PeopleHR:

  • Access Evo product roles: Determines whether a user can access PeopleHR when logging via the Access Evo login page.

  • PeopleHR access rights: Determines what a user can see in PeopleHR after they logged in.

Access Evo members area has two product roles for PeopleHR determining whether an employee is able to access PeopleHR:

  • User: Employee access PeopleHR and what they see in PeopleHR is determined by their access rights set in PeopleHR.

  • No Access: Employee cannot access PeopleHR.

Update an employeeโ€™s PeopleHR product role

To change an employee's PeopleHR product role, follow the steps below:

  1. To access this area, on the top right-hand of the screen, click the members

  2. Select the relevant employee in Access Evo Members.

  3. Click the Actions button and select Manage Roles.

  4. Select a role for PeopleHR then click Save Changes.


Data sent to Access Evo members

The following data is synced directly from PeopleHR to Access Evo for each user:

  • First Name.

  • Last Name.

  • Email.

  • Reports to.

  • Manages.

  • Department.

  • Job Title.

  • Office.


Restrictions in Access Evo members

Ensure you don't invite a new user directly from Access Evo. If a new user is created in Access Evo members, the employee record isn't created in PeopleHR.

Set all your new users in PeopleHR. Their records sync up overnight to Access Evo.
โ€‹
In Access Evo, you could only update the following member details:

  • Department.

  • Location.

  • Job Title.

  • Assign manager.

  • Assign reportees.

  • Change email address or change username.

  • Change name.
