On the Applicant Overview page, you can select a vacancy and then manage the relevant applicants through the pipeline stages. You can accept or reject applicants, invite them to interviews, and move them through the approval stages. Accepting an applicant takes you to the New Employee Wizard and helps you create a new employee record.
To access the Applicant Overview page, follow the steps below.
Click Access Button
then click ATS.
Click the Vacancies tab.
Edit the pipeline stages for a vacancy
In PeopleHR, you can set default pipeline stages or edit the order of pipeline stages.
Add new applicants to this vacancy
Click Access Button
then click ATS.
Click the Vacancies tab, then select the relevant vacancy.
In the New Applicant stage, click Add New then enter the applicant details.
Bulk actions
When clicking into a pipeline stage to expand, you can perform bulk actions such as review, reject, move, or email applicants in bulk.
Duplicate applicants
In the main ATS settings, you can specify whether or not you wish to allow duplicates. To do so, follow the steps below:
Click Access Button
then click ATS.
Click Settings, then select the Vacancies tab.
Click Application, then select Allow duplicate applications.
When you select this option, you can specify how you want to receive the alert: by application name, by application email address, or both.
When you don't select this option, an applicant can't apply for the same vacancy with the same email address.
📌Tip: When you open the applicant's record, you can view at the top that this applicant may have duplicates, and you can click the link to see the duplicates along with their email address, name, the vacancy they have applied for, the status of the vacancy, the applicant's status and the date they applied.
Applicant record
To view an applicant's record, follow the steps below:
Click Access Button
then click ATS.
Click the Vacancies tab, then select the relevant vacancy.
Click a relevant stage then click the relevant applicant.
Within the applicant’s record, you can view the following candidate details:
Tab | Description |
Personal | All the personal information of the candidate. |
Questions | View the answers to any questions that you set up when you created the vacancy and the source where they found the advert. |
Scorecards | View the answers the hiring leads submitted and give a score to the candidates. |
Pipeline | View all the stages this applicant has been through and when they were in it. |
Comments | View and add comments. |
Files | View any cover letters, CVs, resumes, or application forms as well as any documents you or a colleague has added along with any emails that you've sent to the candidate via PeopleHR. |
Job | Put any search terms you want in the Skills field, recruitment cost, and when you last contacted them. |
You also have the following buttons at the top of the record:
Button | Description |
Email Applicant | Use a template you've created in the settings to email the candidate, for example, invite to the first interview or offer emails. |
Email Team | Email people within your company for example to ask for opinions on candidates. |
Reject | Put the candidate in the rejected stage and send a rejection email, if relevant. |
Move Stages | Move them to a different stage of the pipeline. |
Move/Copy | Either move or copy the candidate from this vacancy to another one. |
