Process an employee as a leaver

What to do when an employee leaves your company.

Marking an employee as a leaver allows you to initiate the offboarding process in PeopleHR, ensuring accurate data handling and user management. To do this, follow the steps below.

Make the employee a leaver

  1. Click Access Button image then click Employee.

  2. Click the relevant employee then click Overview.

  3. Click Leaver Wizard.

Fill in the details for each stage of the wizard as described below:

Personal details

  1. From the Reason for Leaving drop-down menu, select a reason.

  2. From the Notice Period drop-down menu, select the relevant option.

  3. Enter the final employment and working dates.

  4. Enter the resignation date then select Mark as Leaver immediately.

    πŸ“ŒNote: Marking a user as a leaver immediately removes their access to the system and affects all related ripple processes.

  5. Check that the remaining holiday is correct then click Next.

Employment

  1. If required, under Re-Assign Direct Reports To, select the relevant employee.

  2. Select whether the leaver is re-employable or not.

  3. Add any relevant supporting comments, then click Next.

Benefits

Check any benefits you may need to recover upon the termination of employment, then click Next.

Tasks

Select the tasks the leaver needs to complete before leaving, then click Next.

πŸ“ŒNote: Once you add a task, you can check it out each time you go through the leaver wizard. The task needs to be actioned regardless of whether the user will be rehired or not.

Complete

Click Finish and exit.


Leaver access

When you mark an employee as a leaver, they can still access their PeopleHR profile until their final employment date. To prevent their access early, you can remove their email address from the Personal tab of their record.

If you haven't already, once the employee reaches their final employment date, we recommend you remove their email address. Otherwise, if their future employer uses PeopleHR, the employee won't be able to log in.
